These terms of service ("Terms") govern your access to and use of Avanti Brief ("the Service"), an AI-powered email management platform operated by Avanti Mind Ltd, a company registered in England and Wales (company number 16049394), with its registered office at The Venture Centre Sir William Lyons Road, University Of Warwick Science Park, Coventry, England, CV4 7EZ.

By creating an account or using the Service, you agree to be bound by these Terms. If you do not agree, you must not use the Service.

1. The Service

Avanti Brief is an AI-powered email management product that helps users organise, triage, and prioritise their email. The Service supports Gmail and Microsoft 365 mailboxes only. The Service is read-only: it connects to your email accounts via OAuth authorisation and uses artificial intelligence to analyse, summarise, and prioritise your messages, but it never sends, replies to, or otherwise modifies your email on your behalf.

The Service delivers digest summaries to you through one or more notification channels you choose, which may include email and Slack and, while it is enabled, WhatsApp (see §4). Every channel is one-way, from Avanti Brief to you, regardless of which you select.

2. Eligibility

You must be at least 18 years old and have the legal capacity to enter into a binding contract to use the Service. By using the Service, you represent and warrant that you meet these requirements.

3. Account Registration

You are responsible for:

providing accurate and complete registration information;
maintaining the security of your account credentials;
all activity that occurs under your account.

You must notify us immediately through our contact page if you suspect any unauthorised access to your account.

4. Notification Channels

4.1 Email

Digest summaries are delivered by email by default.

4.2 Slack

If you connect a Slack workspace, digests may be delivered there instead of, or alongside, email.

4.3 WhatsApp

On paid plans, and only while WhatsApp delivery is enabled for the Service, you may opt in to receive digests via WhatsApp. This channel:

requires you to explicitly opt in and enter a phone number in international format;
requires you to verify that number with a one-time code sent via WhatsApp before delivery begins;
is delivered through Meta's WhatsApp Business Platform (see §8.3);
is strictly one-way: Avanti Brief never reads, sends, or otherwise accesses your WhatsApp messages beyond delivering your own digest to your own verified number;
can be disconnected at any time from Settings → Notifications, which stops delivery immediately and removes your stored phone number.

4.4 Quiet Hours

You may configure quiet hours (a time window, by your local timezone) during which non-urgent notifications on any channel are held rather than delivered, and choose whether genuinely urgent items may still notify you during that window. Held notifications are delivered once your quiet hours end.

5. Plans and Payment

As at 13 October 2026, Avanti Brief is not yet open. Nothing is sold and no payment is taken.

Plans and prices are not published yet. They will be shown before anyone is asked to pay. Payment, renewal, cancellation and refund terms are not part of these terms yet.

6. Acceptable Use

You must not use the Service:

in any way that violates applicable laws or regulations;
to transmit unsolicited bulk email (spam);
to store or process sensitive personal data of third parties without appropriate consent and legal basis;
to attempt to gain unauthorised access to the Service or its underlying systems;
to reverse-engineer, decompile, or attempt to extract source code from the Service;
in a manner that could damage, disable, or impair the Service or its infrastructure.

We reserve the right to suspend or terminate accounts that breach these provisions.

7. Intellectual Property

7.1 Our Property

The Service, including all software, content, designs, trademarks, and documentation, is owned by or licensed to Avanti Mind Ltd and is protected by intellectual property laws. These Terms do not grant you any rights in the Service other than a limited, non-exclusive, non-transferable licence to use it for its intended purpose during your subscription.

7.2 Your Data

You retain ownership of all data, email content, and information you provide or that is processed on your behalf ("Your Data"). By using the Service, you grant us a limited licence to process Your Data solely as necessary to provide the Service to you in accordance with our privacy notice.

8. AI Processing and Sub-Processors

8.1 Primary AI provider

The Service uses the commercial API of an outside AI provider, named in our privacy notice, as its primary provider to analyse, summarise and prioritise your email. To do this, the body of an email is fetched from your email provider on demand, sent to the primary provider for analysis, and then discarded. We never store the body of your email.

8.2 Other AI processing

The Service uses the commercial API of a second outside AI provider, named in our privacy notice, to generate embeddings for semantic search (from each email's subject and AI summary, never its body), to classify routine mail from its subject and preview, and as a fallback analysis provider when the primary provider is unavailable.

By using the Service, you acknowledge that your email data is processed by these AI providers as described in our privacy notice. We do not use your email content to train AI models.

8.3 Meta

If WhatsApp delivery is enabled for the Service and you opt in to it (§4.3), your phone number and the text of your digest messages are transmitted to Meta Platforms, Inc. via the WhatsApp Business Platform solely to deliver those messages to you. Meta never receives the body of your emails. It receives the phone number you supplied and the digest message, whose one-line highlight is either the digest's AI summary or the subject line and sender name of your top email. If you have not opted in, nothing is sent to Meta.

8.4 Other sub-processors

The Service is hosted in France behind a network protection provider; database backups are held in the Netherlands; emails we send you are delivered from the United Kingdom; real-time change notifications for connected Gmail mailboxes, which carry your Gmail address, pass through Google's cloud messaging service; and, once paid plans open, payments are processed by Stripe. The full list, with the name of each provider, what it processes and where, is in our privacy notice.

9. Feedback and Personalisation Data

The Service lets you give feedback on individual emails (for example "More like this", "Less", "VIP", or "Not urgent") from within the app or via a one-click link in an email digest. We use this feedback to adjust how future items from that sender are prioritised for you. This feedback data is tied to your account and is described further in our privacy notice.

10. Availability and Uptime

We endeavour to provide commercially reasonable uptime for the Service. We do not guarantee uninterrupted availability. The Service may be temporarily unavailable due to maintenance, updates, or factors outside our control.

We will endeavour to notify you in advance of planned maintenance where reasonably practicable.

11. Data Retention and Deletion

We retain your data in accordance with our privacy notice. In summary:

stored email data (subject, preview snippet, sender and recipient details, and the AI analysis and embedding derived from them) is kept for 90 days from the date the email was received, then permanently deleted 7 days later;
the body of your email is never stored;
when you delete your account, erasure of your personal data starts immediately, with no waiting period, and your account and its data are permanently erased by a background job;
audit log entries are kept for 365 days as a record of what happened on your account; if you delete your account, your IP address, browser user agent, email address and name are removed from them;
deleted data remains in our database backups until those backups age out, which takes up to about three weeks (see our privacy notice).

You can delete your account at any time from your account settings, or ask us to do it through our contact page. Invoices and payment records held by Stripe are kept by Stripe for as long as UK tax and company law requires.

12. Limitation of Liability

To the fullest extent permitted by law:

we exclude all implied warranties, conditions, and representations relating to the Service;
our total aggregate liability to you under or in connection with these Terms shall not exceed the total subscription fees paid by you in the 12 months immediately preceding the event giving rise to the claim;
we shall not be liable for any indirect, incidental, special, consequential, or punitive loss, including loss of profits, loss of data, or business interruption, even if advised of the possibility of such loss.

Nothing in these Terms limits our liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be excluded or limited by law.

13. Indemnity

You agree to indemnify and hold harmless Avanti Mind Ltd, its directors, employees, and agents from and against any claims, liabilities, damages, and costs (including reasonable legal fees) arising from your use of the Service in breach of these Terms or applicable law.

14. Changes to These Terms

We may update these Terms from time to time. When we make material changes, we will notify you by email or via a prominent notice within the Service at least 14 days before the changes take effect. Continued use of the Service after the effective date constitutes acceptance of the updated Terms. Where you have already accepted a previous version, you will be prompted to review and accept the updated version once, the next time you sign in.

15. Termination

We may suspend or terminate your access to the Service immediately if:

you breach any material provision of these Terms;
we are required to do so by law or a regulatory authority;
you engage in conduct that we reasonably believe poses a risk to us, other users, or third parties.

On termination, your right to use the Service ceases immediately.

16. Governing Law and Disputes

These Terms are governed by the laws of England and Wales. Any dispute arising from or relating to these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.

If you have a complaint, please contact us first through our contact page. We will endeavour to resolve complaints within 14 working days.
